How to cancel PandaDoc, and the 30-day window in the contract
Cancellation is Settings › Billing › Cancel subscription, but the terms matter more than the button. PandaDoc's MSA states that orders are non-cancelable and fees non-refundable, and that annual terms auto-renew for successive one-year terms unless you give written notice at least 30 days before the end date. Monthly plans renew monthly and cancelling leaves you access to the end of the current month. After termination you have 60 days to retrieve your documents, after which they may be deleted. Renewal pricing is the greater of your current price or the published price, and discounts never carry into a renewal.
The button is the easy part
In the app: Settings › Billing › Cancel subscription, then a form to confirm. Only the account owner can see Billing at all. If no Cancel subscription button appears, PandaDoc directs you to contact your account manager instead — so not every account can self-cancel.
That is the mechanics. What decides whether cancelling actually costs you anything is the contract, and it is worth reading before you click.
What the Master Services Agreement says
Three provisions do most of the work. All are quoted from the MSA as published, last updated 10 December 2025.
Orders are non-cancelable. §5.1: "all Orders are non-cancelable and Fees are non-refundable, and the Term as set forth in the Order is a continuous and non-divisible commitment for the full duration of the Term regardless of any invoice schedule."
Read the last clause carefully — regardless of any invoice schedule. Paying monthly on an annual term does not make it a monthly commitment. The term is the commitment; the invoices are just how it is collected.
🔑 Annual terms auto-renew for another full year. §9.1, which the MSA sets in capitals:
"EXCEPT AS OTHERWISE EXPRESSLY PROVIDED IN AN ORDER OR IF A PARTY PROVIDES THE OTHER PARTY WRITTEN NOTICE OF NON-RENEWAL AT LEAST THIRTY (30) DAYS PRIOR TO THE END DATE OF THE TERM, THE TOTAL NUMBER OF UNITS PURCHASED OR OTHERWISE PROVISIONED OR USED DURING THE TERM FOR EACH SERVICE … WILL AUTOMATICALLY RENEW FOR SUCCESSIVE ONE (1) YEAR RENEWAL TERMS"
So the deadline is 30 days before your renewal date, the notice must be written, and missing it commits you to another year — which §5.1 has already established is non-cancelable and non-refundable. Those two clauses together are the whole risk: the window is narrow and what sits behind it is a full year.
Unused volume expires. Also §5.1: "any unused portions of volume-based purchases shall expire at the end of the Term and will not roll over into subsequent Renewal Terms." If you bought usage credits ahead, they do not survive the renewal.
Monthly plans work differently
§5.5 carves them out, and mostly in your favour:
- The order renews every month at PandaDoc's then-published rates.
- Your card is charged on or about the same day each month you signed up.
- Cancel before the renewal date and you keep access through the end of the current month.
The catch is on price: monthly customers do not receive the Price Increase Notice that §5.4 gives annual customers. A monthly plan simply renews at whatever is published at the time.
Renewal pricing only moves one way
§5.4 is worth knowing before you treat a good first-year price as your price. At renewal the annualized unit price is "the greater of (a) the published price on the Site, or (b) the annualized price for such Service unit during the Term", as may be increased by notice.
And the sentence after it: "Discounts, credits and promotional or one-time pricing for the Term do not apply to the Renewal Term."
So a negotiated or promotional rate is explicitly a first-term rate. If a renewal quote looks higher than you expected, that clause is usually why.
⏳ You have 60 days to get your documents out
This is the deadline to diarise, from §9.3:
"If Customer fails to retrieve its Customer Content prior to the termination of the Agreement, Customer may request, within sixty (60) days after such termination, that PandaDoc allow Customer to retrieve Customer Content still remaining in the Services. After such 60-day period, Customer Content may be deleted without any liability to PandaDoc."
Two things to note. It is a request, not self-service — after termination you are asking rather than downloading. And after 60 days deletion carries no liability, so there is no argument to be had later.
Export while the account is still live. Completed documents and the audit trail for each, which is a separate artefact and the one people forget. The checklist in export your documents before you cancel applies directly.
Three other clauses that catch people
Bought through a reseller? §5.7: refund claims go to the reseller, not to PandaDoc. If you bought through a marketplace or partner, start there.
Disputing a charge has its own clock. §5.8 requires written notice within 30 days of the invoice, in specific detail, and states that you "waive the right to dispute any Fees not disputed within thirty (30) calendar days."
Late payment can suspend access. §9.4 allows PandaDoc to disable the service once a payment is more than 15 days past due — worth knowing if you are withholding payment while a dispute is open, because the two clocks interact badly.
Doing it in the right order
- Find your renewal date in Settings › Billing, and count back 30 days. That, not the renewal itself, is your deadline on an annual term.
- Export first — documents and audit trails, while the account is live and it is still self-service.
- Give written notice of non-renewal if you are on an annual term. The MSA asks for written notice; a cancellation click alone is a weaker record. Notices to PandaDoc go to legal@pandadoc.com under §10.2.
- Then cancel in the app, and keep the confirmation.
- If you bought via a reseller, do all of this with them instead.
How this compares
None of the above is unusual for a B2B SaaS contract — annual terms, auto-renewal, notice windows and non-refundable fees are ordinary commercial terms, and PandaDoc publishes all of them clearly. The thing worth comparing is not whether a vendor has these clauses but how much is riding on them, which comes back to what you are metered on.
