How to cancel SignNow, and what its refund policy excludes

In short

Cancel from the seats page in the web app; access continues to the end of the paid or trial period and no refund is issued for cancelling. A refund is separate — request it from support within 30 days of your first payment, and note that issuing it revokes your access immediately rather than at period end. Eight things are excluded from the policy, and one matters most to anyone who hit the invite cap: usage-based fees for exceeding the 100-invite annual limit are strictly non-refundable. App Store, Google Play, marketplace and sales-team purchases are all outside SignNow's control.

Cancelling and refunding are two different things

SignNow is unusually clear about this, and it is the first thing to understand:

"You can cancel the auto-renewal by terminating your subscription and avoiding future billing. Your access to our services will continue until the end of your paid / trial period. No refund will be issued when you cancel."

So cancelling is how you stop the next charge. It does nothing about the last one. If you want money back you make a separate request, and it is subject to a policy with a great many exclusions.

Cancellation itself is self-service, from the seats page in the web app (app.signnow.com/webapp/seats) — you will be asked to log in if you are not already. If you are on a free trial and have entered card details, the service renews automatically at the end of the trial unless you cancel before it expires.

Requesting a refund

Contact SignNow support within 30 days of your first payment date. Transactions older than that are not eligible — SignNow describes this as a self-serve money-back guarantee measured from the initial purchase date.

Have this ready, because SignNow asks for all of it up front:

  • date and amount of the payment
  • last four digits of the card, or your PayPal account email
  • your full name and billing zip code
  • the email address on the SignNow account

⚠️ A refund ends your access immediately. This is the detail most likely to catch someone out, and it is the opposite of how cancelling behaves:

"Refunds and cancellations of Services are directly connected. As soon as the refund is issued, your access to the Services will be revoked, and you will no longer be able to use paid features."

So do not request a refund with documents still in flight or agreements you have not exported. Cancel-and-let-it-run keeps you to period end; refund-and-done cuts you off on the spot. If you have executed agreements in there, get them out first — the export checklist applies here more sharply than usual for exactly this reason.

The refund itself is issued instantly but may take up to 7 business days to appear on a statement, and SignNow notes it is not responsible for any bank charges, commissions or overdrafts arising along the way.

What the policy excludes

Eight categories, and they cover a lot of ground.

1. Anything older than 30 days. Measured from the initial purchase date.

2. 🔑 Overage fees — the one that matters most here. SignNow: "any usage-based fees—such as charges for exceeding the annual limit of 100 invites—are strictly non-refundable."

That is worth sitting with. Every paid seat includes 100 signature invites a year with no rollover, and going over is billed per invite at $0.96, $1.80 or $3.60 depending on tier. If a surprise overage bill is what brought you to this page, that specific charge cannot be refunded, even inside the 30-day window and even if you cancel immediately. 3. "Significant usage." "If the services have been used significantly, this may indicate acceptance of the product, and in such cases refund requests may be declined at our sole discretion." A reasonable provision, and a discretionary one.

4. Sales-team purchases. Not refundable; SignNow directs you to your account manager.

5. App Store and Google Play subscriptions. SignNow support "cannot manage, cancel and refund" these — Apple and Google handle the billing. For Apple, use reportaproblem.apple.com or the Apple Support app under Billing and Subscriptions → Subscriptions and Purchases → Request a refund. Google Play has its own equivalent flow.

6. International and currency-conversion fees. If your local currency differs from the checkout currency, your bank's fees are yours; SignNow does not charge them and cannot refund them.

7. Third-party services. Anything offered through the platform but run by someone else, such as Notarize.

8. Marketplace resellers. If you bought through a marketplace, all cancellation and refund matters go to that marketplace. SignNow names AWS Marketplace, ADP Marketplace, Sherweb, AppDirect/AppSmart, Be-Cloud, Infinigate Cloud, ALSO Software, D&H, Ingram Micro, Intcomex, Pax8 and TechSoup — and says the list is not exhaustive.

Putting it in order

If you are leaving, the sequence that loses the least:

  1. Export first — completed documents and the audit trail for each, while you still have access.
  2. Cancel to stop auto-renewal. You keep access to the end of the paid period.
  3. Only then decide about a refund, knowing it will cut access off immediately and will not cover any overage charges.
  4. If you bought through an app store, a marketplace or a salesperson, start with them rather than with SignNow support.
